Project & Delivery Management — Optimization & Maintenance Portfolio
- Manage a portfolio of Optimization Services and maintenance/support engagements for existing clients, ensuring consistent, reliable delivery of ongoing enhancements, fixes, and small-scope initiatives.
- Manage scope by using intake and prioritization processes to keep incoming requests, tickets, and mini-projects aligned with each client's contracted scope, hours, or retainer terms.
- Develop and maintain schedules across multiple concurrent, smaller-scope workstreams (sprints, release calendars, maintenance windows) for several clients at once.
- Track utilization against retainer or block-hours agreements, monitor burn rate, and flag overages or underutilization before they become client issues.
- Maintain an active risk/issue log for recurring work and escalate to the Senior Project Manager or Director when needed.
- Work with developers, designers, and QA resources supporting multiple clients simultaneously, balancing priorities across the portfolio.
- Set up and run a consistent cadence with each client (status calls, ticket/work-order reporting) and with internal delivery leadership.
- Provide clear, regular reporting on ticket/work-order status, hours utilization, and upcoming priorities.
- Facilitate regular client check-ins and support quarterly business reviews led by senior team members.
- Maintain accurate work-order logs, hours tracking, meeting notes, and status reports.
- Strengthen client relationships through consistent, dependable delivery on the day-to-day work that keeps their platforms running.
- Recognize potential expansion or improvement opportunities that surface during ongoing work, and route them to the PMO and Sales/Account teams rather than pursuing them independently.
- Provide delivery context, account history, and client insight to the PMO and Sales teams as they develop new opportunities with existing clients.
- Where relevant, help identify opportunities to apply AI-enabled tools or approaches to make recurring client work more efficient (a plus, not a requirement).
- 2–4 years of project management or project coordination experience in a software services environment.
- Demonstrated ability to manage scope, schedule, and budget for multiple concurrent workstreams or clients.
- Working knowledge of PM or ticketing tools (e.g., Jira, Smartsheet, Asana, ServiceNow).
- Strong organizational skills and attention to detail when managing several smaller engagements at once.
- Clear, professional written and verbal communication skills for both client-facing and internal reporting.
- Bachelor's degree in Business, Computer Science, Information Systems, or a related field, or equivalent practical experience.
- Helpful skills include exposure to AI-enabled tools or workflows in a software delivery or support context and prior experience working within a formal PMO structure alongside Sales/Account teams.
